#1 :   File Manager Now Available
Do you have numerous files you wish to make available for download?

If you have numerous file that you wish to make available for download from your website, then it can become a bit of a headache trying to manage them all.

Our File Manager is one solution to this problem. You can manage each file individually, make it available or unavailable for download at any time (without having to delete it) and you can group similar files together, by assigning them to Categories and Sub Categories.

You can also regulate just how many files each person can download at any one time, and at what speed their download with operate at.

One other major benefit is you can choose to provide alternative file types for each file. For example you have a document you wish to make available for download. You could upload a Spreadsheet version (.XLS) and a PDF version of the same file. That way your website visitors can choose which format they wish to download. You are not locked into only using just one format, or indeed just one copy of each file.

Another example is you could upload a JPG, GIF and PNG copy of the same picture.

The File Manager includes a Display Files application which your website visitors can use to search and sort through the available files. It can also keep track of how many times each file has been downloaded. You can also check to see just how many times the file was started to be downloaded, and then canceled (aborted).

Downloading large files from a website may cause problems for people on wireless connections if it is interrupted. Our File Manager supports Resume, even if the server your website is being hosted on does not! This means that if someone is downloading using a download manager and they stop the download or it is aborted, they can always resume the download. If you are using your web browser to download the file, then it will be up to what the web browser supports. If it supports pause download (such as Fire Fox), then our File Manager will allow the browser to resume the download.

Being able to resume an aborted or canceled download will certainly help alleviate frustration for your website visitors.

#2 :   Booking Manager Now Available
Do you wish to allow people to make bookings (on a day by day basis) online?
Our Booking Manager allows you to accept online bookings quickly and easily. The customers can simply click on the calendar, which day they wish to book From and To. Then fill in the rest of the form and click submit.

The Calendar will show which days are available and which days have bookings that are pending. A pending booking is a booking that has been submitted but has not yet been confirmed. The confirmation process can vary between business's, but in general a confirmed booking would be one where you have received a down payment or deposit.

You can also display numerous units or items that can be booked all on the one page, and can include descriptions and pictures for each item too.

#3 :   Tutorials Manager Now Available
Need an Efficient Way to provide step by step guides for your Customers?

Every website that provides unique applications may benefit from being able to provide a step by step guide for how each application or section of their website functions. (examples could be, how to use their online ordering / shopping cart, how to use their product search, how to navigate their site map or how to search for specific news articles.)

There maybe companies that wish to provide a step by step guide for how to perform a specific task with one of their products. This can be very beneficial in the fact that as products change and obtain new features you can simply update the pictures in the Tutorial, or create a new Tutorial for the new model.

Whatever the reason, there is always a need and a benefit in being able to demonstrate. With our Tutorial Manager You can upload pictures of each step in the process and then type in an accompanying description. These pictures and descriptions are then displayed in a user activated slideshow, so they can control the pace at which each slide progresses.

The Tutorial Manager allows all the tutorials to be loaded at once. The major benefit in this is if someone starts viewing one tutorial but then is not sure on a specific point, they can click to view another tutorial which may explain that aspect in more detail, once they have finished with that second tutorial, they can return to the first one and it will still be displaying the page they were up to. This makes our system much more user friendly.

Many companies goto the expense of producing training videos. These are no doubt good, but they have some major drawbacks, in that you can't reference a specific section of the video (such as jump to a specific page) and you can not navigate to another video and still have it remember where it was up to in the first video. They are also slower to use and you are forced to view them at the pace they were recorded at, so you can't go through the tutorial at the pace you feel comfortable with.

#4 :   Quote / Invoice Manager Released
Do you find creating Quotes Time Consuming?

If most of your products and/or services are displayed on your website, then it seems logical to utilize that information for generating quotes and/or invoices.

This is ideal for small business's that wish to be able to generate quotes quickly and easily, and using this system you can easily select which products you wish to include on a quote, without having to type in any descriptions or prices. It also ensures that all descriptions and prices displayed on your website are consistent with the quotes that you generate. You can of course change those details on the quote if you wish.

Now there are many applications that can be used to generate quotes, but majority of these require that you enter all your products into their system. This results in additional workload as you have to update each application individually. What our system does is utilize the one single database of all your products or services. That way when you update the information for the website products or add new products to the website, that new information and those new products are instantly available for use in generating quotes.

This application requires our Product Manager in order to support adding products automatically.

Create PDF Quotes / Invoices

From every Quote and/or invoice you can create a PDF copy at anytime and the layout and stationary used for the PDF can be of any design you require. We can replicate your stationary or you can have us design something different. Having it in PDF format, not only presents very professional, but also makes print and emailing much easier. Your customers will certainly appreciate that.

Add products to the quote Easily

Integrating with our Product Manager, this Quoting / Invoicing Manager can generate a list of all products (grouped into their assigned categories / sub categories) in a drop down list. This allows you to quickly and easily click on any products from that list and have them automatically added to the quote or invoice.

Easily Select Customers

You can also choose to add your customer details to the Accounts Manager. That way when you go to generate a new quote or invoice for an existing customer you can simply select their name from the drop down list and all their details will be inserted into the quote automatically.

Seamlessly convert a Quote to an Invoice

It is inevitable that when you generate quotes, some of those will be converted to orders which require an invoice be generated. With our system you can quickly duplicate an existing quote and convert it to an invoice. This not only saves a large amount of time, but it also ensures no errors can occur. Once a customer confirms a quote and/or provides a purchase order, you can convert that quote directly to an invoice. This means you have not had to manually generate the invoice, or re-type any customer or product information, which will drastically reduce the potential for typing mistakes, errors or any omissions.

Assign Status to each Quote

To help keep track of your activities, you can assign different status levels to each quote. This is ideal for ensuring that you know which quotes have been Accepted, Rejected or Canceled. So when you review the quotes you have generated, you can see which customers have not responded, and which have, helping you identify those that you need to follow up.

You can also assign a Sent Status, so you can keep track of how you sent the quote to this customer, such as Emailed, Faxed, Posted etc. This is beneficial if the customer requests that you resend it for whatever reason, or so you can track how quickly it would have been received.

This application does not send the quotes directly to the customer if you select email. This status is just so you can keep track of the delivery method you choose. It is important to still create the emails to the customers yourself and attach the PDF quote manually. The personal touch is always the best.

#5 :   New Website : The Country Care Group
The Country Care Group Website is the latest addition to our Portfolio.

This website has been based on one we had created previously for Country Care. The Country Care Group is made up of a national group of professional service providers that carry the full range of products required to meet the clinical needs of its clients.

The Design Brief

To still use the floating width layout, but have each product page displayed similar and in the same manner as their printed catalogue. This means that each product page on the website should include the same products as displayed on the relevant page in the catalogue. Every product is assigned to Sections and each Section is divided into Categories. Numerous products are also grouped under a common product name, with others being displayed individually. The catalogue also uses different layout in different sections, with some pages only including 2 products, with others having over 9.

This presented a slight challenge for the website in that traditional Content Management Systems can't be tailored to do this. Usually they have a fixed number of products they wish to display ( per screen ) and would therefore be unable to replicate the varying number of products displayed per page that was requested. It could be possible with some additional configuration, but we chose what we considered to be a more manageable solution.

To do this we have utilized a flat file database system instead of using SQL or any other form of Database you would expect. The flat file system provides greater flexibility for each entry as it can be easier tailored to suit how that product is to be displayed on that specific page. Sure this could be done with SQL, but that is much more inflexible as it can't be adjusted "on the fly" as it requires new fields inserted into the database if you need to accommodate new details or to incorporate another design idea. The flat file system is also much faster to update and considerably easier to make changes to functionality than SQL. Of course SQL has a long list of benefits but alas none were beneficial for this task.

Numerous applications were written or adapted from the existing Country Care website. A few of the unique applications are:

Page Number Management

As each Section of their catalogue had a specific number of pages, this application allows the website to mimic the catalogue and ensure that each web page displays the same products as the printed page. So each section on the website has the same number of pages as the printed catalogue. Each section then provides a list of all page numbers it contains to allow for quick navigation to any desired page.
Product Search and Quick Selection
With so many products (586 currently) spanning so many different categories (108 currently) it was important to provide quick and easy access to a specific product, or to a specific category within each section.
